Estate Planning Legal Assistant / Receptionist – Salem Office

Position Overview

Schwabe, Williamson & Wyatt is seeking a full-time Legal Assistant/Receptionist in the Salem office. This individual will provide support to paralegals, and lawyers. This position will be in-office from 8:00 am – 5:00 pm, Monday through Friday.

The Legal Assistant must deliver excellent internal and external client service in a professional manner. In addition, this position requires the ability to learn and utilize computer software, follow instructions carefully and accept a full variety of projects, work on multiple projects simultaneously, and meet deadlines as assigned.

This position requires 3+ years of experience with business, corporate, and estate planning law, strong secretarial skills, strong computer skills, and a high level of organization and accuracy with attention to detail. The successful candidate will be able to turn work around quickly, possess strong oral and written communication skills and be a self-starter with a positive attitude who enjoys a fast paced, team environment.

Responsibilities include:  

  • Schedule appointments and keep calendar for attorney
  • Responsible for opening and organizing files, creating indexes, closing files and working with the records department
  • Reception duties, including greeting clients and guests, answering phone calls
  • Work with team on case management
  • Create estate planning portfolios and coordinate delivery to client
  • Assist with meeting preparation
  • Proofread, convert, format, and edit multiple documents such as trusts, wills, checklists, etc.
  • Create shell documents, such as letters to clients
  • Prepare documents for binders
  • Knowledge of all aspects of estates, trusts, and probate
  • Email transmittal of correspondence, and other documents
  • Transmitting documents by Sharefile and DocuSign
  • Assist with day to day operations of the office, which may include maintaining/ordering office supplies, as well as coordinating office repairs with facilities manager
  • Errands such as delivery of documents to another office
  • Electronic file management, including saving emails to iManage
  • Assist with copy and scanning projects
  • Assist with large mailings, prepare UPS slips for overnight delivery
  • Handle and trouble-shoot audio/video conference systems
  • Other duties as assigned

Conflicts Attorney – Portland or Seattle office

Position Overview

The Conflicts Attorney will identify, analyze, and resolve conflicts with respect to new matters and parties, pursuant to the applicable Rules of Professional Conduct. The Conflicts Attorney will review all conflict reports, communicate with originating lawyers and staff members regarding their analysis, prepare consent letters, and file executed consent letters.

This role will work closely with the Firm’s Director of Intake and Records, General Counsel, Centralized Intake Committee, and other Firm leadership.

Responsibilities include:  

  • Analyze and resolve conflicts of interest for new matters and parties.
  • Communicate with originating lawyers regarding conflicts of interest.
  • Research and investigate and potential conflicts to determine whether consent can be obtained pursuant to the applicable Rules of Professional Conduct.
  • Work with originating lawyers to obtain consent for disclosures necessary to request informed consent.
  • Consult with General Counsel or their designee, as needed.‎
  • ‎Document decisions on conflicts where appropriate and the issues by recording notes or other written memoranda.‎
  • ‎Draft conflict waiver correspondence and consents for review of requesting attorney and ‎the General Counsel.‎
  • ‎Research and assist with resolving conflicts pertaining to potential lateral hiring. 
  • Evaluate and implement client/matter screens and former-client notices, in coordination with Records staff members, in order to minimize or avoid disqualification as a result of an otherwise imputed conflict of interest.
  • Update and propose edits to Firm templates for documenting engagements and informed consent.
  • Perform other tasks as delegated by the General Counsel or their designee regarding client engagements, conflicts of interest, Firm training, and the applicable Rules of Professional Conduct.‎

Desired Knowledge, Skills, and Abilities:

  • Requires a juris doctor degree from an ABA accredited law school
  • Deep understanding of the Rules of Professional Responsibility
  • Minimum of three years of conflicts experience or equivalent
  • Active member in good standing of the Oregon State Bar and the state bar in which the Conflicts Attorney resides
  • Strong skills in legal research and writing
  • Technology proficiency with familiarity with Intapp Conflicts, Intapp Open, Intapp Walls, and Intapp Terms

Position Overview

Schwabe is seeking a full-time Knowledge Management (KM) Coordinator to work out of our Portland or Seattle office. This position will work a hybrid work schedule and be in office Tuesday – Thursday with work from home days on Monday & Friday. Individuals working out of Seattle will have occasional travel to the Portland office.

The KM Coordinator will provide administrative, research, and technical support to the KM department. Advancing the development and maintenance of Schwabe processes and systems designed to improve and distribute firm knowledge and experience. Key functions provide support for public records research, KM software access, and departmental accounting.

Essential Functions:  

  • Provide support for department financial accounting procedures: maintain accurate record of firm-wide investment in legal, technical, business, forms, and all other department subscriptions and licenses; manage invoice payment processing and record expenses in firm expense management systems; reconcile invoice differences with vendors; process initial client billing.
  • Aid in generating packages of background information on potential individual and business clients, evaluate associated risks, and make recommendations based on established guidelines and procedures.
  • Electronic resources management for KM systems, including maintenance and logins. Provide access control and troubleshooting, including but not limited to, integrated library system (EOS), reference tracking system (REFTracker), all legal and business research resources and subscriptions, and department document management system (iManage).
  • Provide reference services including document delivery, password maintenance, interlibrary loans, and other reference tasks as assigned.
  • Assist with research and library maintenance including ordering materials, processing, arranging and re-shelving collection materials, filing, and assist with withdrawal of print items.
  • Actively contribute to a culture of valuing and leveraging the firm’s knowledge by assisting with training, marketing, communications, and other tasks as assigned.
  • Provide the KM team and wider business with relevant data to identify areas for improvement or general updates on the firms’ use of resources.
  • Provide backup coverage for other department staff.
  • Assist the Director with additional administrative responsibilities as assigned.

  • Assist with printing and assembly of large print requests
