Office Assistant – Portland

Position Overview

Schwabe, Williamson & Wyatt is seeking a full-time Office Assistant in the Portland office.  This individual will ‎provide support to legal assistants, paralegals, and lawyers, as well as back up coverage to the receptionist. This position is in-person, Monday through Friday, 8:00 am to 5:00 pm.‎

The Office Assistant must deliver excellent internal and external client service in a professional manner.  In addition, this position requires the ability to learn and utilize computer software, follow instructions carefully ‎and accept a full variety of projects, work on multiple projects simultaneously, and meet ‎deadlines as assigned. The successful candidate will be able to turn work around quickly, possess strong oral and written communication skills, and be a self-starter who enjoys a fast-paced, team environment.

Essential Functions:

  • Pull and prepare documents for trial and hearing notebooks
  • Assist with printing and assembly of large print requests
  • Contact entry into Interaction
  • Create shell documents and correspondence
  • Scan and process third party vendor invoices
  • Travel arrangements
  • Prepare expense reimbursements
  • Project support under legal assistant or paralegal supervision
  • Errands such as delivery of documents to opposing counsel
  • Electronic file management, including saving emails and legal documents to our document management system
  • Transcription
  • Scan incoming mail and disperse to legal assistants or save electronically
  • Copy and scanning projects
  • Assist with large mailings
  • Prepare UPS/FEDEX slips for overnight delivery
  • General back-up reception duties, including greeting clients and guests, answering and directing phone calls
  • Other duties as assigned

Education and Experience

A high school diploma (or equivalent) is required. Two years of work experience in an office setting is preferred.

Receivables Specialist – Portland

Position Overview

We are seeking a team member to join our Accounting department to help us better serve our clients.

This position will be located in our Portland office 3 days per week with options to work remote Monday & Friday.

Responsibilities include:  

  • Accurately process payments from multiple sources daily
  • Perform extensive research and inquiry necessary to process a portion of the daily payments
  • Promptly process refund and book transfer requests
  • Respond to incoming calls and email messages for receivables team
  • Assist in processing appeals for reductions made on invoices
  • Maintain accurate receipt records
  • Assist Accounts Receivable team as needed
  • Research and resolve account discrepancies in a timely manner
  • Learn various technology platforms
  • Multi-task various duties
  • Spreadsheet creation and maintenance
  • Assist in developing process improvement checklists and manuals for specific practice areas
  • Resolve and appeal issues with reduced e-bills while meeting required deadlines
  • Assist with other projects as needed
