Position Overview
The firm has an opening for a full-time experienced Legal Secretary/Assistant in its Real Estate & Natural Resources Department in the Portland office.
This position requires 5+ years of experience in transactions, with a focus on real estate law. The successful candidate will be able to competently communicate and manage title and escrow teams, have strong secretarial and computer skills, have a high level of organization and accuracy with attention to detail, be able to turn work around quickly, be a self-starter with a drive to proactively move projects forward, and have a positive attitude while enjoying a fast-paced, team environment.
Essential Duties:
- Manage transactional processes and procedures coordinating with title and escrow
- Compile closing binders for large complicated projects
- Proofread, convert, format, and edit multiple documents such as contracts, leases checklists, etc.
- Perform word processing for a variety of legal documents (Leases, Amendments, License agreements, etc.)
- Process legal documents for distribution and electronic storage
- Travel arrangements and scheduling
- Run conflicts checks and set up new clients and matters
- Performs administrative work including filling, typing, and special projects
- Other duties as assigned
Competencies:
- High level of proficiency in word processing and redline/compare document programs
- Knowledge of all aspects of real estate transactions and leasing
- Ability to manage multiple projects, activities and tasks simultaneously while maintaining high level of attention to detail
- High level of organizational skills
- Excellent verbal and written communications
- Excellent time management skills and can make decisions quickly

- Proficient in Microsoft Office suite, including Word, Excel, Outlook and PowerPoint
