Records Clerk – Portland

Schwabe is seeking a Records Clerk to ‎work full-time in our downtown Portland office.‎

Under the supervision of the Director of Intake & Records, the successful candidate will provide staff assistance in the Records Department by performing file maintenance and updating file records, as well as recording retention and file closure. The Records Clerk performs data entry and general clerical duties required in the operation of the Records Department.

Essential Functions:

  • Works on client files in Records Department by creating and distributing new files at the request of attorneys or secretaries; closes files according to the firm’s retention policies and procedures.
  • Performs data entry work by updating information on client-matter files and deleting outdated records where appropriate; verifies the accuracy of data entry by comparing the computerized output to source documents; transcribes and updates information from other sources to computerized records.
  • Processes automated and manual client intake and records forms; assigns client and matter numbers.
  • Performs other duties as required including, but not limited to: maintenance of will safes, organization of file banks, maintenance of statistics and logs, and assisting attorneys and secretaries by responding to telephone and e-mail inquiries.
  • Operates various types of office equipment including laser printers, color label printers, photocopiers, and fax machines.

Additional skills include:

  • Possesses the interpersonal skills necessary to communicate with a diverse group of attorneys and staff, and to handle all dealings with professionalism, courtesy, and tact.
  • Reading and comprehension skills of a high school graduate are required. Ability to file correspondence, data, and legal documents accurately and systematically in accordance with department procedures. Ability to enter data and text using a standard computer keyboard. Ability to learn software database programs.  Ability to cooperate with co-workers in accomplishing the goals and deadlines of the department. 
  • Ability to retrieve and distribute materials weighing up to 35 pounds and ability to retrieve and replace objects from shelves 8 feet high (using step stool) in aisles that are 27.5 inches wide.

A high school diploma (or equivalent) is required. Two years of responsible and verifiable work experience in general office or clerical environment. An equivalent combination of experience and training that insures the ability to perform the work may substitute for the above.

Office Assistant – Bend

This is a full-time, in-person position in our Bend office. ‎Proof of COVID-19 vaccination is required.‎

The Office Assistant must deliver excellent internal and external client service in a pleasant and ‎professional manner. This position will ‎provide support to the Bend office. In addition, this ‎position requires the ability to learn and utilize computer software, follow instructions carefully ‎‎and accept a full variety of projects, work on multiple projects simultaneously, and meet ‎‎deadlines as assigned. ‎

Essential Functions: ‎

  • Responsible for organizing files, creating pleading indexes, closing files and working with ‎the records department
  • Contact entry into InterAction
  • Assistance with client holiday events and gifts, and coordination of office events such as ‎monthly lunches
  • Drafting correspondence shells
  • Process invoices for payment and check requests
  • Travel arrangements
  • Prepare expense reimbursements
  • Project support under legal assistant or paralegal supervision
  • Greeting clients and visitors
  • Perform daily housekeeping tasks such as loading and unloading the dishwasher, brewing ‎coffee, cleaning the conference rooms, stocking the refrigerator, and running errands
  • Electronic file management, including saving emails to Filesite
  • Transcription
  • Scanning incoming mail and dispersing to the legal assistants and paralegals or saving to ‎Filesite
  • Copy and scanning projects
  • Assist with large mailings
  • Prepare UPS/FEDEX slips for overnight delivery
  • Responsible for conference room set-up, including AV equipment, lunch orders, and clean-up following
  • Maintain schedules for Conference Rooms and visiting attorney offices; send daily emails ‎to the office with these schedules
  • Responsible for scheduling client meetings
  • Maintain supply room

Education and Experience:

Estate Planning, Probate, and Trust/Estate Administration Paralegal – Portland or Vancouver

Seeking an experienced estate planning and trust/estate administration Paralegal in the Business Department in its Portland or Vancouver offices. This position requires strong computer skills and a high level of organization and accuracy with attention to detail. The successful candidate will be able to turn work around quickly, possess strong oral and written communication skills, and be a self-starter who enjoys a fast-paced, team environment. Schwabe offers a hybrid work environment. Proof of COVID-19 vaccination is required.

Duties and Responsibilities:

  • Draft wills, trusts, powers of attorney, directives to physicians, and other related estate planning documents.
  • Facilitate trust funding and asset transfers and distributions.
  • Manage both simple and complex trust and estate administrations from beginning to end.
  • Prepare and file Court pleadings.
  • Prepare trust and estate annual and final accountings along with all supporting documents.
  • Compile tax information and prepare estate tax returns and gift tax returns.
  • Collect, evaluate, maintain and monitor estate and trust assets, income and expenses.
  • Coordinate various matters with other departments such as title searches, sale of real estate, contribution easements, wrongful death claims, and will contests.
  • Examine and prepare summaries of estate planning documents.

Competencies:

  • A desire and ability to take ownership over work assignments and work product.

Education and Experience:

  • A Bachelor’s degree and/or Paralegal certificate is preferred. Any combination of experience and education will be considered.
  • Knowledge of all aspects of the administration of decedent’s estates, trusts, conservatorships, and guardianships, including preparing and filing all probate court/estate administration forms.
  • Three years of Estate Planning, trust/estate administration and Probate Paralegal Experience.
  • Experience in Washington and California estate and trust administration is a plus.
