Senior Accounting Specialist – Portland

Position Overview

Reporting to the Accounting Manager, supporting timekeepers, multiple accounting team members, and ‎the firm by performing a variety of accounting tasks. Portions of the responsibilities of this position may ‎change over time. Initially, the position will be focused on billings for 25% to 75% of a month. Accounting ‎payable tasks will also represent a meaningful commitment of time. ‎

The Accounting Specialist is responsible for a variety of tasks to support the firm’s accounting department. ‎This role will support our AR, AP and billing teams. ‎

This is a full-time position, working out of the Portland office at least 3 days a week with flexibility to work ‎remote on Monday & Friday. ‎

Responsibilities include: ‎

  • Billing, including processing, editing and billing incoming proformas
  • Initial e-billing setup as needed ‎
  • Electronically submit e-billed invoices, track and follow up on rejections
  • Identify and resolve billing inaccuracies and deficiencies
  • Perform accounts payable tasks and backup accounts payable as needed
  • ‎Spreadsheet creation and maintenance
  • Prepare status reports, as needed
  • Prepare and execute complex billings, including billings with multiple discounts
  • Maintain technical knowledge by attending educational workshops; review publications and ‎remain current with product information for all released software configurations
  • ‎General accounting duties
  • Problem-solve computer and system issues ‎
  • Assist in developing process improvement checklists and manuals for specific practice areas.‎
  • Assist Accounting Manager and Director of Accounting with projects as needed

Desired Knowledge, Skills, and Abilities: ‎

  • Seven plus years of experience in meaningful billing or billing supervision experience
  • Excellent data entry skills
  • Advanced MS Excel experience
  • High level of organization, accuracy and attention to details
  • Law firm experience and/or 3E/Elite Enterprise Time and Billing a plus
  • Ability to turn work around quickly
  • Possess strong oral and written communication skills
  • Ability to communicate effectively with attorneys, staff and team members regarding ‎commitments, deadlines, challenges and requests
  • Ability to deliver a high standard of customer service ‎

  • Accurately process payments from multiple sources daily
  • Perform extensive research and inquiry necessary to process a portion of the daily payments

  • Compile and process a high volume of attorney bills to clients on a monthly basis
  • Review and edit proformas in response to the attorney and secretary requests

  • Creation and maintenance of billing department spreadsheets

Senior Lawyer Talent Acquisition Coordinator ‎- Seattle

Position Overview

Join our high-energy team! Reporting to the Senior Director of Talent Acquisition & Integration, the ‎Senior Lawyer Talent Acquisition Coordinator will be responsible for providing administrative support ‎for the firm’s lawyer recruiting and integration efforts, including the Summer Associate Program.‎

This is a full-time position, working out of the Seattle office at least 3 days a week, with flexibility to ‎work remote on Monday and Friday. Core hours for the position are 8:30 a.m. to 5:30 p.m., sometimes ‎requiring more than 40 hours per week, particularly during the summer months.‎

Responsibilities include:: ‎

  • Update and produce data related to lawyer recruiting, schedule meetings, create and maintain ‎applicant files, make ‎travel arrangements, process evaluations and reimbursements, and other ‎duties as assigned
  • Coordinate interview schedules and compile and distribute interviewer evaluations
  • Assist with recruitment of law students for the firm’s Summer Associate and Fellowship ‎programs. Some examples: prepare informational and promotional items for students, and ‎organize interview schedules
  • Support the firm’s Summer Associate program, which includes coordinating logistics of the ‎annual program such as ‎orientation, travel, training, and social events
  • Manage communication regarding bar exam registration, bar review course registration, and ‎bar stipends for new ‎lawyers
  • Work with HR and the Professional Development team on orientation and training activities for ‎new lawyers
  • Maintain positive communication and working relationships with internal and external clients; ‎observe confidentiality ‎of personnel, firm matters, and candidates‎
  • Provide support to the Hiring and Lateral Integration Committees‎
  • Represent Schwabe at industry recruiting events, and represent Schwabe’s Talent Acquisition ‎team at internal firm ‎events

Desired Knowledge, Skills, and Abilities: 

  • ‎3+ years of experience in recruitment and staffing, preferably in a law firm setting or other ‎professional services field
  • Experience coordinating events
  • Excellent verbal & written communication skills; ability to work effectively with a variety of ‎internal and external clients
  • Ability to be self-directed and handle multiple priorities and work effectively under varying ‎time lines
  • Strong planning, organizational, and analytical skills
  • Interpersonal skills necessary to communicate effectively with a diverse group of lawyers, law ‎students, and staff; and ‎provide information with courtesy and tact, while safeguarding ‎confidentiality
  • Strong communication, including business writing and documentation
  • Skilled in Microsoft Office, particularly Outlook calendaring; experience managing information ‎databases
  • Ability to be a strategic thinker, to be efficient, a self-starter, articulate, calm, reasonable, a ‎good listener, creative, ‎positive, and results-oriented
  • Must be able to understand and follow law office procedures, and have the ability to operate ‎general office ‎equipment efficiently
  • Availability for occasional travel to the firm’s other office locations and Northwest law school ‎campuses is required
